Board Minutes Summary — April 19, 2012
Set future meeting dates, including the Annual Board Retreat August 5.
Member Concerns: Cindy Unkai Mckinley requested that the prison program be
formalized, and funded as part of operations. There is currently a lot of transition
in the program volunteers. The endorser for the program is changing. Unkai
recommended that the prison program be evaluated for compliance with state
requirements. Dharma Council has asked for a representative from the Mandala
Council, Board, and Dharma Council to form a group to address these concerns.
Gyoshi will be board representative to prison program.
Policies for Employees: Board chair will send out old and new employee policies
via e-mail for review for next meeting.
Abuse Reporting Policy:
Policy is under review. Goal is to implement by fall term. Draft prior to August
5th meeting.
Day care has been discontinued until there is a policy regarding providers.
Property Committee: Discussed construction loan, selling the Sangha House,
residential partition prospectus, submission of a Brownfield redevelopment
plan to the City, Prospective Purchasers Agreement, draft land sale contract,
when DRZC would receive title, widening Siskiyou Street, 2nd exit, and the
pre-application meeting regarding the land division. Board members considered
what criteria they think are critical for discussion: land sale contract, contract
for potential buyers should we default, assurance on getting a share for Siskiyou
Street improvements. An acceptance document will be drafted for review at the
next meeting.
Treasurer’s report:
September 2011 ~ March 2012. Total Revenue shows a Net Surplus of $19,172.
Ending cash (before reserves) is $115,861, up some $20,000 from last year.
Due Diligence costs to date are $13,861. Overall activities are well within budget. Residency revenue is some $3,000
down (both from prior year and budget).
Treasurer Job Report:
- Treasurer has produced finance statements for the last 5 years for the
bank loan application.
- QuickBooks update is almost complete — subject to Sangha member
CPA review.
- Protocols are being developed for standardizing where donations go.
- Payroll transaction records kept online by ADP (payroll service) for last
2 years.
- Filing needs to be revised for ease of locating hard copies.
- Residential rent should be in accounts receivable.
- Transportation and Training expenses will be reviewed for compliance
with IRS regulations.
